You can apply for a China visa for the Canton Fair yourself, without paying an agent. In short: pre-register as an overseas buyer on the official Canton Fair platform, request your invitation letter there, then apply for your visa through the official channel for the place where you live, using that letter as your business document. This guide walks you through each step and explains what is official, what varies, and what you should double-check.

Last verified: 21 October 2026, against the official sources linked in this article. Visa rules change often. Always confirm the current rules for your own nationality and location before you apply. This guide is general information, not legal or immigration advice, and it cannot guarantee a visa.

The process at a glance

  1. Check whether you need a visa at all (some passports can enter China visa-free).
  2. Pre-register as an overseas buyer on the official Canton Fair platform or app.
  3. Request your Canton Fair invitation letter in the same system.
  4. Download the letter and check every detail against your passport.
  5. Find the official visa channel for the country or region where you will apply.
  6. Complete the online visa application form and upload your documents.
  7. Wait for the online review, then submit your passport as instructed.
  8. Pay the fees, keep your receipt, and collect your passport.
  9. Check the visa in your passport before you travel.

Before you start: do you need a visa, and where do you apply?

There is no single worldwide rule. Whether you need a visa, which visa you need, and where you apply depend on four things: your nationality, where you legally live, the purpose of your trip, and how long you will stay.

Some travellers do not need a visa for short trips. China has a unilateral visa-free policy for ordinary passport holders from a list of countries, for stays of up to 30 days for business, tourism, family visits, transit or exchanges. The Chinese consulate's notice says this policy runs until 31 December 2026 (official notice). China also has mutual visa-exemption agreements with some countries, including the UAE, Qatar, Singapore and Thailand, for stays of up to 30 days (Chinese Visa Application Service Center notice). Check the latest list for your passport; these policies are updated from time to time.

If you do need a visa, the usual category for trade fairs is the M visa (business and trade). Official guidance lists "an invitation letter for an economic or trade fair" as one of the accepted business documents for an M visa (Shanghai government visa guide). Your embassy or consulate makes the final decision on the category, so follow its instructions if they differ.

Where you apply matters. You normally apply in the country where you are a citizen or a legal resident. For example, a Pakistani citizen living in Dubai usually applies in the UAE and must show proof of UAE residence. The official guidance asks for "proof of legal stay or residence status" when you apply outside your country of citizenship.

Preparation checklist

Gather these before you start. The exact list depends on your location, so treat this as a starting point.

  • Passport valid for at least six months, with blank visa pages.
  • A recent passport-style photo (digital and printed).
  • Company details: company name, address, website, your job title and business email.
  • A business card (useful when you collect your Canton Fair badge in Guangzhou).
  • Proof of legal residence, if you apply outside your home country (for example, a residence visa or Emirates ID).
  • Your rough travel plan: dates, which fair phase you will visit, and where you will stay.
  • Any previous Chinese visas or old passports, if you have them.

Step-by-step: how to apply for a China visa for the Canton Fair

Part A: Register with the Canton Fair and get your invitation letter

Step 1. Open the official buyer platform

Go to the official Canton Fair website, cantonfair.org.cn, and follow its link to buyer registration. The official channels named by the Canton Fair are the Buyer Service System on the official website and the Canton Fair App (official press release, February 2026). Download the app only from links on the official website or your phone's official app store. Badge applications are free, and the Canton Fair has said it has not authorised any third party to sell badge services (Guangdong news report).

Step 2. Create an account and complete overseas buyer pre-registration

Sign up with your email, then fill in your personal and company details. Pre-registration is required for all overseas buyers attending the physical exhibition, both new and returning. Enter your name, nationality and passport number exactly as they appear in your passport, including spelling and the order of names. A small mismatch can cause problems later with your invitation letter, your visa and your badge.

Step 3. Keep your registration confirmation or QR code

After pre-registration, the system may show a confirmation or receipt with a QR code. Keep it. It helps you collect your buyer badge in Guangzhou. It is not a visa and not an invitation letter. Never post it publicly, because it is linked to your personal record.

Step 4. Open the invitation letter section

According to the official press release:

  • New buyers apply for the invitation letter while completing the overseas buyer badge application. The letter is generated when the application is successfully submitted.
  • Returning buyers log in to the Buyer Service System, open the invitation letter section, and submit updated personal and company information for confirmation.

Menu names can change between editions and between the website and the app. If you cannot find the invitation section, look for a menu containing "Invitation" in your account, or check the help pages on the official website.

Step 5. Check the details shown in the invitation request

Before you submit, compare these with your passport: full name, gender, date of birth, nationality, passport number, and your company name. Also check that you selected the correct Canton Fair session. Mistakes here are the most common reason for delays, because a visa officer compares the letter with your passport.

Step 6. Submit the request

Click the Apply or Submit button. Then confirm it worked: the request should appear in your account with a status, and you may receive an email. If nothing changes, do not submit again repeatedly; wait, refresh, and check your email (including spam).

Step 7. Wait for processing

For new buyers, the official press release says the letter is generated on successful submission. For returning buyers who submit details for confirmation, we did not find an official processing time. You may see estimates such as "about five days" online, but this is not an official rule. Apply as early as you can, ideally weeks before your planned visa appointment.

Step 8. Download and check your invitation letter

The official release says invitation letters can be viewed, downloaded or printed from the system. Download the PDF, print a copy, and check every detail once more. If something is wrong, see the FAQ below.

Part B: Apply for your visa

Step 9. Find the right official visa channel for your location

Go to the Chinese Visa Application Service Center website (visaforchina.cn) and choose the country or region where you are applying, then the city or centre. Remember: this is based on where you will apply (usually where you legally live), not only your nationality. If your location is not listed, open the website of the Chinese embassy or consulate that covers your area and follow its instructions. Many locations now use the China Online Visa Application (COVA) system run by China's foreign ministry.

Step 10. Read the local requirements first

On your centre's page, read the sections on application procedure, required documents, fees, and processing times before you start the form. These pages tell you whether you need an appointment, which documents to upload, and how you will pay.

Step 11. Complete the online visa application

Fill in the form carefully, in English or Chinese. You will usually be asked for:

  • Commonly requested: passport details, a photo meeting the photo rules, your travel purpose and itinerary, your employer or business information, and your Canton Fair invitation letter.
  • Location-specific: proof of legal residence (if you are not a citizen of that country), previous Chinese visas, hotel or flight details, signed declarations, or other documents your centre asks for.

On COVA, for example, the official guidance says you upload image files (PDFs are not accepted), the system checks your photo automatically, and required documents are marked clearly (Chinese Embassy COVA guidelines). The Dubai centre, as another example, asks applicants to print the completed form, sign it, and bring it to an appointment (Dubai centre procedure).

Step 12. Review, submit, and track your application

Check every field before submitting. On COVA, you cannot edit the form after submitting until the online review is finished. Track the status in your account. If it is returned for changes, fix the issue and resubmit quickly.

Step 13. Submit your passport as instructed

After the online review, you will be told how and when to hand in your passport and original documents. Depending on your location, this may require an appointment, an in-person visit, or fingerprints (biometrics). Passing the online review only means you may submit your passport. The embassy states clearly that online review approval does not guarantee visa issuance, and an officer may still ask for an interview or more documents.

Step 14. Pay the fees

Pay according to your centre's instructions. See the fees section below.

Step 15. Keep your receipt and collect your passport

Keep your receipt or collection slip. It usually shows a reference number and an estimated collection date. Some centres offer tracking or courier return. Processing times are estimates, so do not book non-refundable flights until you have your visa.

Step 16. Check your visa before you travel

When you get your passport back, check your name, passport number, visa type, number of entries, the "enter before" date, and the permitted duration of each stay. Report any error to the centre straight away.

How long does it take?

StageWhat the official sources say
Canton Fair invitation letter (new buyers)Generated on successful submission of the badge application.
Invitation letter (returning buyers)Submitted for confirmation. No official timeframe found; apply early.
Online visa reviewVaries by location; you may be asked to correct or add documents.
Visa processing after passport submissionVaries by embassy and service type. Check your centre's processing-time page.

Visa fees

Fees depend on your nationality, the number of entries, and the service speed. Visa service centres may also charge a service fee on top of the visa fee. Payment methods and timing also vary: some locations collect payment when you submit your passport, others at collection. Check the fees page for your exact centre on visaforchina.cn or your embassy's website. The Canton Fair buyer badge itself is free.

Common mistakes and how to avoid them

  • Name or passport mismatch. Copy your details exactly from your passport on every form.
  • Applying in the wrong place. Apply where you legally live, and include proof of residence if needed.
  • Confusing the QR code with the invitation. The registration QR code is for your badge, not your visa.
  • Leaving it too late. Start registration and your visa application several weeks before the fair.
  • Using unofficial apps or sites. Only use links from the official Canton Fair and visa websites.
  • Booking non-refundable travel early. Wait until your visa is issued.
  • Uploading the wrong file type or photo. Follow your centre's file and photo rules exactly.

Frequently asked questions

Can I apply for a China visa without an agent?

Yes. You can register with the Canton Fair, request the invitation letter, and apply for your visa yourself through the official visa centre or embassy channels. Agents are optional.

How do I request a Canton Fair invitation letter?

New buyers request it while applying for the overseas buyer badge on the Buyer Service System or app. Returning buyers open the invitation letter section in the Buyer Service System and submit their updated details.

Is the registration QR code the same as an invitation?

No. The QR code or receipt helps you collect your buyer badge. The invitation letter is a separate document used for your visa application.

Does the invitation guarantee a visa?

No. The invitation is a supporting document. The embassy or consulate makes the final decision.

How long does the invitation take?

For new buyers, it is generated on successful submission. For returning buyers, no official timeframe is published, so apply early.

Which documents should I prepare?

Usually your passport, photo, application form, invitation letter, business details, and proof of residence if you are not a citizen of the country where you apply. Your local centre may ask for more.

Which country and city should I select?

Choose the country or region where you will apply, usually where you legally live, and then the visa centre or consulate that covers your area.

It depends on your location. Many centres require an appointment, and some collect fingerprints. Your centre's page will tell you.

When do I submit my passport?

After your online application passes the initial review, at the time and place your centre tells you.

How do I collect my passport?

Use the receipt or reference you were given, on or after the estimated date, in person or by courier if your centre offers it.

What should I do if my invitation details are incorrect?

Do not use it for your visa. Correct your details in your Canton Fair account and request a new letter, or contact the Canton Fair through the official website for help.
